As Refex Industries expanded its operations, managing contracts, trips, fleet assets, procurement, and finance became increasingly difficult through manual processes.

Trip execution was handled separately, making it difficult to monitor vehicle allocation and operational progress.
Vendor invoices had to be manually matched with completed trips, while project budgets and profitability were difficult to track in real time.
Letters of Award (LOAs), Proof of Delivery (POD), weighbridge slips, invoices, and supporting documents were stored across different locations, increasing the effort required during audits and reconciliations.
Fleet assets such as vehicles, tyres, and batteries also lacked lifecycle tracking, limiting visibility into maintenance and utilization.

The business needed a single system that could connect operational activities with procurement, projects, and finance while giving management timely access to business information.

ERPNext was implemented together with custom Contract Management, Trip Management, and Fleet Management applications to manage the complete operational workflow.

Contract Management centralized LOAs, contract values, milestones, validity periods, additional work, and supporting documents in one place.
Trip Management brought together trip planning, vehicle and driver allocation, trip monitoring, POD management, and document attachments.
Fleet Management introduced lifecycle tracking for vehicles, tyres, batteries, maintenance history, and project-wise deployment.
These applications were integrated with ERPNext Buying, Projects, Accounting, Stock, and Selling modules to support procurement, vendor invoice verification, project budgeting, expense tracking, customer billing, profitability analysis, and billed versus unbilled transaction monitoring.
A centralized document repository and real-time dashboards helped business users access operational and financial information without relying on manual reports.

Refex now has end-to-end visibility across operations, complete traceability from contracts to customer billing, automated workflows across departments, improved vendor invoice validation, optimized fleet utilization, and faster management reporting.
The organization also achieved real-time visibility across more than 20 project sites and established 100% digital management of Letters of Award (LOAs), creating a strong foundation for future growth.
